Mixroom Inc. ("we", "us", "our") operates the Mixroom platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website and services. By using Mixroom, you consent to the practices described in this policy.
2. Information We Collect
Account Information: Name, email address, password, role (client, studio owner, engineer), profile photo, location, and bio.
Studio/Engineer Profile Data: Studio name, address, room details, equipment lists, hourly rates, availability, portfolio tracks, genres, and credits.
Booking Data: Session dates, times, rooms, add-ons, session notes, artist/producer names, and project descriptions.
Payment Information: Processed securely through Stripe. We do not store credit card numbers. We store Stripe customer IDs, payment intent IDs, and transaction records.
Communications: Messages between users, support chat conversations, and notification history.
Usage Data: IP address, browser type, pages visited, and interaction patterns for analytics and security purposes.
Signatures: Digital signatures on terms & conditions and additional charges forms, including name and timestamp.
3. How We Use Your Information
We use collected information to:
• Provide and maintain the Platform
• Process bookings and payments
• Send booking confirmations, reminders, and notifications
• Enable communication between clients and service providers
• Improve our services through analytics
• Power AI features (session prep, pricing suggestions, review summaries, support chat, etc.)
• Detect and prevent fraud
• Comply with legal obligations
• Resolve disputes and enforce our Terms of Service
4. AI Data Usage
Mixroom uses artificial intelligence (powered by Anthropic's Claude) to provide features like registration assistance, session prep analysis, pricing suggestions, review summaries, mix feedback translation, and support chat. When you use AI features:
• Your input is sent to our AI provider to generate responses
• AI conversations in support chat are logged for quality and admin review
• We do not use your data to train AI models
• AI-generated content is not shared with third parties beyond our AI provider
5. Information Sharing
We share information with:
Other Users: Your profile information is visible to other users. Booking details are shared between the client and the service provider for that booking.
Stripe: Payment processing. Stripe's privacy policy applies to payment data.
Resend: Email delivery service for booking confirmations and notifications.
Mapbox: Studio location mapping and geocoding.
Anthropic: AI feature processing (no personal data is retained by Anthropic).
Vercel: Hosting and deployment.
Supabase: Database and authentication services.
We do not sell your personal information to third parties.
6. Data Security
We implement security measures including: encrypted data transmission (HTTPS/TLS), secure authentication via Supabase Auth, Row Level Security on all database tables, rate limiting on API endpoints, webhook signature verification for payment processing, and regular security audits. No system is 100% secure, and we cannot guarantee absolute security.
7. Data Retention
We retain your account data for as long as your account is active. Booking records and payment data are retained for 7 years for tax and legal compliance. Session files may be automatically deleted based on the studio's configured turnaround period. You may request deletion of your account and associated data at any time.

9. Cookies
We use essential cookies for authentication and session management. We do not use third-party tracking cookies for advertising. Analytics data is collected server-side without third-party cookies.
10. Children's Privacy
Mixroom is not intended for users under 18 years of age. We do not knowingly collect information from children. If we learn that we have collected data from a user under 18, we will delete it promptly.
11. California Privacy Rights (CCPA)
California residents have additional rights including: the right to know what personal information is collected, the right to delete personal information, the right to opt out of the sale of personal information (we do not sell data), and the right to non-discrimination for exercising privacy rights.
12. International Users
Mixroom is operated from the United States. If you access the Platform from outside the US, your information will be transferred to and processed in the United States. By using the Platform, you consent to this transfer.
13. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify users of material changes via email or Platform notification. Continued use after changes constitutes acceptance of the updated policy.
