Mixroom's cancellation policy is designed to be fair to both clients and service providers. The required notice period depends on the length of the booking. Studio-initiated cancellations always result in a full refund to the client.

Studio Session Cancellations
Client-Initiated Cancellations
The cancellation window depends on the duration of your booked session:
Sessions under 24 hours
Free cancellation up to 48 hours before session start
A 5-hour session on Saturday at 2pm can be cancelled for free until Thursday at 2pm.
Sessions 1β2 days
Free cancellation up to 4 days before session start
A 2-day session starting Monday can be cancelled for free until the prior Thursday.
Sessions over 2 days
Free cancellation up to 1 week before session start
A 5-day session starting on the 15th can be cancelled for free until the 8th.
After the cancellation window
If the cancellation window has passed, clients cannot cancel through the platform. Please contact the studio directly to discuss options.
Studio-Initiated Cancellations
Always a full refund
When a studio cancels a booking β regardless of when β the client receives a full refund. Studios should avoid cancelling confirmed sessions as it impacts their reliability score.

Client-Initiated Cancellations
Before engineer accepts
Full refund
If the engineer hasn't accepted your project yet, you can cancel at any time for a full refund.
After acceptance
Refund minus engineer's kill fee
Once the engineer has accepted your project, their kill fee applies if you cancel. Each engineer sets their own kill fee percentage, which is displayed on their profile page before you book. The kill fee compensates the engineer for reserving their time.
After delivery
No refund
Once the engineer has delivered the mix/master, the project cannot be cancelled. You can request revisions instead.
Engineer-Initiated Cancellations
Always a full refund
If an engineer cancels a project at any stage, the client receives a full refund. Engineers who frequently cancel may have their accounts reviewed.
Card payments
Refunds appear on your statement within 5β10 business days.
ACH / bank transfers
Refunds may take up to 10 business days to process.
Flexible session holds
Uncaptured holds are released automatically when the session is completed or cancelled. No action needed.
Request-to-book
If a studio declines your booking request, your card is never charged.
Disputes
If you believe a cancellation was handled incorrectly, or if you have a dispute about a refund amount, please contact us at support@mixroom.app. We review all disputes and may mediate between parties. For payment disputes filed through your bank (chargebacks), Mixroom will submit evidence including booking details, communication records, and any signed agreements.
